Job Responsibilities:

  • Answer phone calls, emails, and inquiries from clients, vendors, and drivers.
  • Coordinate with suppliers and customers to ensure smooth day-to-day operations.
  • Organize and manage driver schedules, ensuring timely and efficient routes.
  • Track shipments, monitor delivery progress, and update customers on delivery statuses.
  • Maintain shipping documentation, permits, and regulatory compliance records.
  • Ensure all transportation-related files are up-to-date and properly organized.
  • Input and update data for shipments, invoicing, and inventory in the company system.
  • Generate regular reports on delivery schedules, costs, and customer feedback.
  • Address customer inquiries and concerns regarding delivery times, costs, and status updates.
  • Resolve issues quickly, ensuring high levels of client satisfaction.
  • Oversee office supplies, ensuring stock levels are maintained.
  • Manage vehicle maintenance records and relevant documentation for fleet management.
  • Assist with onboarding new staff and drivers, managing documents and training schedules.
  • Help with payroll tasks, including timekeeping and records maintenance.
  • Assist in processing invoices, receipts, and tracking payments for transportation services.
  • Support financial reporting and administrative tasks for accounting purposes.
  • Provide administrative assistance to management, including scheduling meetings and preparing reports.
  • Organize internal and external communications, ensuring timely responses and actions.
  • Track safety certifications for drivers and ensure compliance with industry regulations.
  • Maintain updated records for permits and safety equipment.
