The National Arts Centre (NAC) is Canada’s bilingual, multi-disciplinary home for the performing arts. The NAC presents, creates, produces, and co-produces performing arts programming in various streams—the NAC Orchestra, Dance, English Theatre, French Theatre, Indigenous Theatre, and Popular Music and Variety.  The Centre also invests and nurtures in our next generation of audiences and artists from across Canada.  Our vision is to lead and support the renewal of the Canadian performing arts sector over the next three years, as detailed in The Next Act, the NAC’s strategic plan for 2020-2023. Through collaboration and investment in creation, production, co-production, and dissemination, along with a heightened focus on community engagement, learning, and innovation, the NAC will shape a more diverse, equitable, and inclusive future for the performing arts in Canada.

 

Key activities:

The NAC helps students and teachers across Canada bring the performing arts alive through workshops, performances, artist residencies and professional development through the Arts Alive Team – a cross-departmental education team comprised of members of the NAC’s Music, English Theatre, Indigenous Theatre, and French Theatre departments. The Arts Alive Team at the National Arts Centre is currently seeking a dynamic Administrative Assistant to join the department. The Administrative Assistant will provide exceptional assistance to the Arts Alive team by maintaining the overall flow of workplace operations and supporting the implementation of activities and projects. The Administrative Assistant will provide frontline client service liaising with NAC staff, schools, teachers, and arts professionals.

 

Specific duties include:

  • Helping the Arts Alive team in the administration and scheduling of school bookings with teaching artists, teachers, and schools;
  • Working with the NAC Finance Department to create invoices for events;
  • Monitoring the Arts Alive accounts receivable and payable;
  • Creating artist contracts and facilitating payments;
  • Providing support to the team in the creation of Arts Alive and events listing, the Learning and Education Newsletter content, promotional E-blasts, and surveys and feedback questionnaires;
  • Attending and facilitating events and workshops, liaising with Teaching Artists and Teachers, and disseminating online content to schools and other organizations;
  • Assisting in reporting KPI's for the Education Hub and providing support to the Arts Alive team with Community Programming, Youth Programming, and other duties as required.

 

Required qualifications:

  • College diploma in business, communication, marketing or arts, or equivalent combination of education and two (2) years of administrative experience; business skills training preferred;
  • Excellent communication skills in both official languages (French & English) and the ability to deal with, on behalf of the department, a wide range of people, organizations, and internal/external clients;
  • Proficient in Microsoft Office Suite, including Word, Outlook, Excel and PowerPoint, and MS Teams;
  • Ability to self-manage work and to evaluate and manage priorities;
  • Ability to process high volumes of information from multiple sources;
  • Ability to adapt quickly to a fast-paced and highly charged environment;
  • Capable of drafting and proofing correspondence in both languages;
  • Highly organized and able to co-ordinate a variety of projects/activities simultaneously;
  • Meticulous attention to detail.
