Corporate Secretary

 

We are looking for “Corporate Secretary” for Holiday Inn Express Kingston located at 205 Resource Road Kingston, ON K7P 0K1, Canada.

JOB DUTIES:

 

  • Provide high-level administrative support to the Director of Operations, including managing schedules, meetings, and confidential correspondence across all hotel properties.

  • Coordinate and prepare documentation for executive meetings, construction updates, project planning, and board reporting.

  • Maintain organized records for corporate files, hotel licenses, contracts, vendor agreements, and construction permits.

  • Assist with financial documentation, including expense tracking, budget reports, invoice processing, and monthly reconciliation summaries.

  • Support ongoing hotel construction and renovation projects by liaising with contractors, tracking timelines, and managing related administrative paperwork.

  • Prepare travel itineraries and accompany the management on business trips to other company locations, development sites, and hospitality partners.

  • Facilitate internal communication between departments across the hotel group to ensure alignment on operations, staffing, and brand standards.

  • Draft and proofread reports, memos, and presentations for senior leadership, ensuring clarity, accuracy, and timely delivery.

  • Coordinate with external franchise representatives, government offices, and vendors, on behalf of the Director.

  • Maintain confidentiality and discretion in handling sensitive operational, financial, and strategic information across all hotel entities.

  • Monitor deadlines and ensure compliance with regulatory filings, corporate policies, hotel franchise obligations, and construction timelines.

  • Coordinate special projects and events, including hotel openings, stakeholder site visits, and executive retreats, handling all logistics and communications.
     

 

Education: Secondary School or equivalent experience

Experience & Skills: 2 years to less than 3 years of experience in relative field

Language: English. 

           

Annual Salary  $65,000 – $68,000 for 30 to 40 Hours per week

Starting Date: As soon as possible

Terms of Employment: Fulltime and permanent

Benefits: 4 % Vacation Pay
