Quicklink Immigration is a well-established Immigration office in Abbotsford, British Columbia. We are looking for dedicated experienced Administrative Assistance (NOC-1241) for our fast-growing immigration consulting business. The responsible Administrative Assistant will be responsible for day-to-day business activities such as answering the phone calls, scheduling appointments and other financial record keeping duties (book-keeping). Business related studies or related work experience is required to apply for this position. Use of Microsoft Office and basic computer knowledge is mandatory. Main duties within the job:

  • Meet and greet customers, collect information, organize paperwork/files, label and track files and create electronic and physical files
  • Answer phone calls, make appointments, organize conferences calls and communicate client messages to the employer or responsible person in place.
  • Collect original documents such as passports, citizenship certificates, work permits, drivers license etc., keep them in secure locking devices and protect private property, confidential and personal information according to the company policy
  • Prepare, edit and proofread correspondence, invoices, submissions, reports and related material from word documents handwritten copies
  • Open, organize and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations.
  • Preparing the letters and submission letters on Word document, keeping record of debit and credits on Excel sheet, preparing presentations for staff meetings
  • Schedule and confirm appointments and meetings of employer and consultants. Order office supplies and maintain inventory.
  • Keep track of travel expenses and schedules and make reservations if required
  • May supervise and train office staff in procedures and in use of current software

Employment requirements

  • Secondary (high) school graduation certificate and diploma in business studies or equivalent experience
  • Fluent in English 

Experience:

  • A minimum of 1 years related experience
  • On-the-job training is provided.
