  • Position: Office Administrative Assistant
  • Work Hours:  40 hrs. per week
  • Wage: $24.04
  • Job Type: Full-time, Permanent
  • Start date: ASAP

Key duties and Responsibilities

  • Reply to email, telephone, or face to face enquiries
  • Retrieve documents from filing system
  • Resolve administrative problems and inquiries
  • Handle multiple projects
  • Provide information by answering questions and requests
  • Manage workflow daily, ensuring that deadlines are met, and work is complete
  • Purchase supplies and make sure there is enough inventory for the office and for our technicians and vendors
  • Train office staff and vendors in the use of our Work Order systems
  • Organize and schedule meetings, safety meetings and conferences when necessary and prepare minutes of the meetings
  • Check the mail and emails and organize the information with the manager and other departments
  • Review invoices and proceed with the payments.
  • Review Credit Cards statements of the employees of the company
  • Approve and edit Work Tasks of our technicians and vendors
  • Follow up and reply to our technicians and vendors of the Work Tasks to make sure are done
  • Be in contact with the Head Office in Ontario
  • Update the system with the information provided by the managers, customers, and technicians
  • Dispatch Work orders
  • Follow up projects
  • Search for vendors in different cities of the province and other provinces
  • Ship products to our vendors

Requirements/Education and other requirements

  • Completion of secondary school is required
  • 1-2 years of experience in a related field are required
  • Completion of a one to two-year college program for administrative assistants a plus
  • Organized, self-disciplined, motivated and able to work independently
  • Interpersonal communication skills, communicate effectively both written and orally
  • A strong commitment to team culture, positive attitude
