Stavcan is seeking a self-motivated and hard-working Administrative Assistant to join our team based out of Mississauga Ontario. Our Administrative Assistant will provide all the administrative tasks needed to support our management staff.
This role involves a high level of administrative support, scheduling, coordinating, and multitasking, to support management and product delivery.
DUTIES & RESPONSIBILITIES
- Schedule and confirm appointments and meetings of employer
- Answer telephone and electronic enquiries and relay telephone calls and messages
- Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy
- Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
- Order office supplies and maintain inventory
- Set up and maintain manual and computerized information filing systems
- Determine and establish office procedures
- Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
- Record and prepare minutes of meetings
- Arrange travel schedules and make reservations
- Greet and direct visitors to appropriate person(s)
- Post regular updates on website
- Order office supplies and maintain inventory
SKILLS & QUALIFICATIONS
The successful candidate will possess the following qualifications:
- A University or College degree in Human Resources, Administration or related field OR a minimum of 1 year experience as an Administrative Assistant is required;
- Ability to interact with people effectively and in a professional manner;
- Technical administrative experience is an asset;
- Ability to work independently and in a team environment;
- Must be proficient with computers, especially Microsoft Office Suite (required).
