Key duties and Responsibilities

  • Establish and implement office procedures and protocols.
  • Manage personal files for clients below the supervisor level.
  • Assist in creating internal company documents related to administration, HR, and IT processes, standards, and procedures.
  • Respond to telephone and electronic inquiries, as well as relay calls and messages.
  • Create and manage both manual and computerized information filing systems.
  • Ensure timely communication with cleaning employees.
  • Procure office supplies and keep track of inventory.
  • Welcome and assist visitors, determining the nature of their business and directing them accordingly.
  • Document and prepare minutes for meetings.
  • Potentially oversee and train office staff in procedures and current software usage.


Requirements/Education and other requirements

  • Completion of secondary school is usually required
  • Completion of a one- or two-year college or other program for administrative assistants or secretaries or previous clerical experience is required.
  • Organized, self-disciplined, motivated and able to work independently
  • Interpersonal communication skills, communicate effectively both written and orally
  • A strong commitment to team culture, positive attitude
