The Artona’s Photography is looking for an Administration Operations Officer (NOC 13100) to join our growing team.
Position: Operations Officer – Administration
Work Hours: 40hrs/week
Wage: $28.85/h
Job Type: Full-time, Permanent

Job Description:
The Operations Officer – Administration will play a pivotal role in ensuring the smooth operation of the office. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
Key duties and Responsibilities
- Respond to inquiries via email, telephone, and in-person; relay calls and messages promptly and accurately.
- Manage and train office staff if required.
- Prepare, input, edit, and proofread correspondence, invoices, reports, and other documents from dictation and handwritten notes.
- Schedule and confirm appointments and meetings for management, ensuring effective time management.
- Order and maintain office supplies, managing inventory to ensure availability while minimizing waste.
- Establish and implement office procedures to enhance operational efficiency.
- Greet visitors, assess their needs, and direct them to the appropriate personnel.
- Record and prepare minutes for meetings, ensuring accurate documentation of discussions and decisions.
- Compile data, statistics, and other information to support various research activities as needed.
- Resolve administrative inquiries and issues, maintaining organized office documents and correspondence.
- Manage daily workflow, ensuring tasks are completed on time and deadlines are met.
- Set up and maintain both manual and electronic filing systems to track monthly sales and employee schedules.
- Monitor incoming and outgoing mail and emails; facilitate communication between departments and external organizations.
- Coordinate the retrieval and dispatch of packages as required.
Requirements/Education and other requirements
- Completion of secondary school required, college diploma in business or public administration is preferred.
- 1-2 years of experience in a related field required
- Organized, self-disciplined, motivated and able to work independently
- Interpersonal communication skills, communicate effectively both written and orally
- A strong commitment to team culture, positive attitude
- English required
